The type of personal information we collect: 

We currently collect and process the following information:

· Personal identifiers, contacts and characteristics (for example, name and contact details)

· Email address, company address, billing / payment information (where applicable)

· Website collects your IP address. 

How we get the personal information and why we have it.

Most of the personal information we process is provided to us directly by you for one of the following reasons:

· To pitch for a contract

· To discuss a contract

· To provide a quotation

· To provide an invoice

We also receive personal information indirectly, from the following sources in the following scenarios:

· Contact via a social media platform such as Linkedin.com; where an introduction to our service may occur as a part of a marketing activity.

We use the information that you have given us in order to discuss a contract, provide a quotation, invoice for services provided by us.

We may share this information with bona fide subcontractors, in order to share sub-contracted works pricing, to plan an event, to confirm a contract.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting danny@expo-espresso.com

(b) We have a contractual obligation.

We cannot engage in a contract without appropriate information.

(c) We have a legal obligation.

We cannot provide you with services covered by our insurance policies without engagement.

(d) We have a vital interest.

We cannot offer a quotation for our services to you without your contact information.

(e) We have a legitimate interest.

Where necessary our bona-fide subcontractors will need your information to provide services linked to a specific event.

How we store your personal information 

Your information is securely stored. 

We keep your email address, name, company communication data and emails for the period of engagement, and to contact you in the case of planning for an event in the future. We will then dispose your information by removing it from our company files and hardware / software upon request.

We use Microsoft services, which means your data will be securely stored within the “cloud”. As Microsoft is an American company, the cloud data may be held outside of the United Kingdom. All data is held securely by password-protected devices and accounts.

We use third party applications such as Zappify, Freshbooks, Linkedin and other social media platforms in order to provide you with information about our services and to provide you Expo Espresso Ltd services. These applications may store your personal information as described previously in the privacy policy and will be used for the express purpose of pitching for a contract, discussing a contract, providing a quotation, invoicing for services rendered. 

Informed Consent

Expo Espresso Ltd may take photographs at an event in order to use for promotional purposes, such as publish on social media and our website. 

We aim to seek for permission from each of our clients to use the photographs that may include their brand images, exhibition stands, branding, employees, clients and guests where possible. When an event has its own privacy policy and images are used from an event platform, please be aware permission to use these images will be sought from the publisher and will be outside of our privacy policy. 

We will seek to make a verbal agreement or written agreement directly with a client in order to publish an image for promotional purposes. Neither is binding, and if any information is used inadvertently, please contact danny@expo-espresso.com and images can be removed or changed.  

All images will be stored within either Expo Espresso ltd employee / company devices, company servers, third party website servers. Please contact us if you have a query about an image published by Expo Espresso ltd. We do not accept responsibility for inadvertently publishing sensitive data where images have been pre-approved by a client or clients' representative. 

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information. 

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
